Agreement to Terms & Enterprise Relationship

Plain English Summary (Section 01)

By accessing or using Tripiffic, you agree to be bound by these Terms of Service. If your organization signed an Enterprise Master Services Agreement (MSA), that MSA takes contractual precedence.

Welcome to Tripiffic Travels Pvt. Ltd. ('Tripiffic', 'Platform', 'we', 'us', or 'our'). These Terms of Service ('Terms') form a legally binding contract between Tripiffic and the person or business entity accessing or utilizing our travel booking platform, APIs, mobile applications, and administrative consoles.

By clicking 'I Agree', creating an administrative or corporate employee profile, searching flight or hotel itineraries, or initiating any reservation, you affirm that you possess full legal authority to enter into these Terms on behalf of yourself and your corporate employer.

Enterprise Precedence: Where a corporate customer has entered into an executed Master Services Agreement (MSA), Corporate Travel Partner Agreement, or bespoke Service Level Agreement (SLA) with Tripiffic, the provisions of that executed agreement shall supersede any directly conflicting terms set forth herein.

Corporate Authorization

If you are registering an employer account or provisioning company employees, you warrant that you are a designated corporate officer, HR executive, or authorized travel administrator authorized to commit company credit lines.

Corporate Accounts, Employee Roles & Security

Plain English Summary (Section 02)

Administrators are responsible for provisioning authorized employee seats, managing role-based travel limits, and safeguarding credentials.

To utilize Tripiffic corporate functionality, your organization must establish an active Enterprise Account. Each employee traveler must log in using authorized single sign-on (SSO) or verified email credentials.

  • Credential Security: Corporate administrators and employees are responsible for maintaining the confidentiality of their login credentials. Any activity conducted under an authenticated account shall be deemed authorized by the respective corporate entity.
  • Role-Based Governance: The platform offers role segregation (e.g., Super Admin, Finance Manager, Department Approver, Employee Traveler). Administrators must ensure appropriate permission levels are mapped to valid company roles.
  • Employee Deprovisioning: The Corporate Client must promptly deactivate employee accounts upon termination or role transition. Tripiffic is not liable for bookings initiated by former employees prior to deactivation.
  • Notification of Unauthorized Access: You agree to immediately notify Tripiffic at security@tripiffic.com upon discovering any credential breach, phishing incident, or suspected account compromise.

Booking, Fares, Airline PNRs & Hotel Confirmations

Plain English Summary (Section 03)

Tripiffic aggregates inventory from third-party airlines and hotel suppliers. Fares are dynamic and are only guaranteed upon successful ticket issuance (PNR generation).

Tripiffic operates as an advanced technology intermediary connecting corporate travelers with airlines, Global Distribution Systems (GDS: Amadeus, Sabre), and hotel wholesalers (TBO). The following conditions govern reservations:

  • Dynamic Pricing & Availability: Flight seat inventory and hotel room rates fluctuate in real-time based on airline yield management systems. A displayed quote on a search results page does not constitute a guaranteed price until the booking request is validated and ticketing begins.
  • PNR & Voucher Issuance: A reservation is confirmed only upon the generation of an official Airline Passenger Name Record (PNR) and electronic ticket number (e-ticket) for flights, or a valid supplier Confirmation Voucher for hotels.
  • Passenger Name Accuracy: Airline regulations strictly prohibit ticket transfer or significant name alterations. Passenger names must precisely match the government-issued photo ID or passport presented at airport check-in.
  • Baggage, Meals & Seat Selection: Ancillary services (checked baggage allowances, seat selection, special meal requests) are subject to each operating airline's individual tariff guidelines and aircraft configuration.

Fare Expiry During Multi-Level Approvals

If your corporate travel policy requires manager approval before issuance, the requested flight fare may expire or alter if the approval is delayed. Tripiffic automatically re-validates the fare before ticketing and alerts the approver if fare changes occur.

Pricing, Corporate Wallet, Invoicing & Payments

Plain English Summary (Section 04)

Payment can be completed via corporate credit card, post-paid invoicing line, or pre-funded Corporate Wallet. All corporate bookings include statutory GST invoices.

All fares and rates displayed on the Platform are presented in Indian Rupees (INR) unless a different local currency is selected. The total price includes base fare, airport charges, passenger development fees, fuel surcharges, applicable GST, and Tripiffic platform technology fees.

A. Corporate Wallet & Pre-Funded Balances

Corporate clients may maintain a pre-funded Corporate Travel Wallet. Funds in the corporate wallet are held exclusively for travel fulfillment and do not accrue interest. Wallet top-ups can be conducted via NEFT, RTGS, IMPS, or corporate net banking.

B. Enterprise Credit Lines & Net Billing

Clients granted credit lines are subject to standard Net-15 or Net-30 payment terms as formalized in their commercial contracts. Failure to clear invoices within the stipulated window may result in temporary suspension of flight issuance privileges.

C. GST Invoicing & Tax Input Credit

Tripiffic issues valid B2B tax invoices reflecting your organization's GSTIN and state tax jurisdiction, allowing seamless claim of Input Tax Credit (ITC) on eligible business travel expenses under Indian Goods and Services Tax laws.

Cancellations, Rescheduling & Refund Processing

Plain English Summary (Section 05)

Cancellations and date changes are governed by individual airline fare rules and hotel policies, alongside Tripiffic service processing charges.

When an authorized traveler or administrator cancels or alters an itinerary, the financial refund is determined primarily by the underlying airline's fare rules (e.g., Non-Refundable, Saver, Flexi, or Corporate Special) and hotel cancellation cut-offs:

Disbursement Mode for Refunds

For corporate clients utilizing the Tripiffic Corporate Wallet or Credit Line, approved refunds are credited back to the corporate wallet balance immediately upon carrier settlement, preserving company cash flow.

AI Travel Assistant & Automated Suggestions

Plain English Summary (Section 06)

Our AI travel assistant provides automated itinerary recommendations. Travelers remain responsible for reviewing flight timings, layover lengths, and visa requirements prior to confirming bookings.

Tripiffic incorporates machine learning and generative artificial intelligence ('Tripiffic AI') to analyze travel histories, recommend cost-optimized flight combinations, and summarize corporate travel policy compliance.

  • Advisory Nature: AI-generated flight recommendations, connection suggestions, and policy interpretations are provided for organizational convenience and do not constitute an infallible travel guarantee.
  • Mandatory Human Review: Travelers and approving managers must verify departure airports, terminal changes, layover durations, and baggage allowances prior to confirming reservations.
  • Visa & Health Advisories: While AI tools may surface general visa guidelines, travelers bear sole legal accountability for obtaining valid entry visas, transit visas, transit vaccinations, and immigration documentation.

Tripiffic strongly advises corporate clients to maintain comprehensive corporate travel insurance covering emergency medical treatment, trip interruption, luggage loss, and emergency evacuation for all traveling personnel.
